Minutes of Extraordinary Committee Meeting held on August 17th, 2001, at 7pm
|
Present: Huntress, Debbie, Troy, Dragon, princess, Debbledee, Snow. Apologies: Michael. | ||||
| 1 | Motions: Items for discussion that meeting was called for. | |||
| 1.1 | That paragraph two of Article 6.2.4 of the Constitution of "Consensual Lifestyles Association (SA) Incorporated" be temporarily suspended, for the duration of the "Inaugural" Annual General Meeting, so as to permit an "Open and Demonstrably Clear" election of both President and Public Officer. | |||
| 1.2 | The constitution states - "If there are insufficient nominations for a position, then nominations can be taken from the floor at the Annual General Meeting", does this mean that if there are fewer than 2 nominations for a position then nominations are open to the floor (one isn't sufficient to vote on, if after it has been thrown open to the floor there is still only one candidate for a position then it is automatic that this person is elected). | |||
| 1.3 | Proxy votes not being accepted at meetings other than the AGM. As the constitution only details proxy votes in reference to the AGM (section 6.5.1), and it is not mentioned for other meeting types, that does not translate to it not being allowed. | |||
| 2 | Decisions and votes: All items discussed at length and voted upon. | |||
| 2.1 | It was decided unanimously that we must follow the constitution and not set it aside or suspend it as it sets a bad precedent and example for the future of the Association and opens the way for further problems. | |||
| 2.2 | A secret ballot was held to decide whether - "One nomination is sufficient" Arguments: | |||
| 2.2.1 | One is not sufficient to vote on, so to give members the best choice it is better to open to the floor at the AGM to give members more choice.
| |||
| 2.2.2 | One is sufficient and it was merely poor wording of the constitution. To open the floor allows people to circumvent the nomination process which is there for a reason/s. Votes: Yes - 4, No -3, Abstain - 0 Result: One nomination is considered sufficient, therefore if there is a valid nomination which is accepted, then it is not warranted to open voting to the floor at the AGM. It was further decided though that despite this being our decision at this time, this matter should be discussed again with the new committee and members after the coming AGM, before deciding to make any changes to the constitution to clarify it. It was determined there is a difference between nominations put forward and candidates to vote on. It was felt that it was part of the committee's job before an AGM to look at all nominations put forward to determine who then is a valid candidate to be accepted or voted upon, hence the time limit with which to get nominations in and whether or not to open the floor to more nominations. One nomination is considered sufficient if it is a valid candidate.
| |||
| 2.3 | A secret ballot was held to decide whether - "We accept Michael's late nomination for President" Arguments: | |||
| 2.3.1 | Michael's nomination was not done in time or in the required format despite having ample time and notice to do so. If we accept his late nomination we must accept all late nominations no matter how late they are and ignore the rules of the Association. It will look bad for the Association if we ignore the rules we have so recently set down and people will lose faith in us as a body.
| |||
| 2.3.2 | Although Michael's nomination was late it was felt that he had always intended to nominate and had just not written and notified in the required time, he did have the right intentions and would do a good job in the position if elected. It will look bad for the Association if Michael is not given the chance to at least be voted upon since it was announced he would be President to the SAmunch list. Votes: Yes - 3, No - 4, Abstain - 0 Result: Michael's nomination is not accepted and therefore Debbledee, whose nomination has been accepted, is the only nomination and now becomes President for the new term. Huntress has already posted to the SAmunch list stating that she has stuffed up by announcing Michael's nomination and stating he would be the President, when in fact his nomination was not valid. It is hoped that people will accept it was entirely her error and not reflect that upon the Association.
